The client was having difficulty managing its interdepartmental agreement process, used to coordinate approval between departments for exchange of services and funds. A manual workflow inefficiently moved agreements through the organization, and documents were not being approved in the timeframes needed.
The client needed a solution that simplified and automated the workflow, to ensure that agreements would be signed prior to the start of project periods.
SSI consultants met with end-users and stakeholders to design an interdepartmental agreement work management solution that would meet the client’s needs. Each department within the organization had a unique process that needed to be supported. As a result, SSI implemented a flexible solution in which the workflow could be customized by each department.
With the solution crafted by SSI, a number of benefits were provided. Individual coordinators were able to revise agreement processing workflows as needed—and accommodate situations unique to particular agreements and to their departments.
Project officers were more consistent with submissions, resulting in fewer rejections. Coordinators in each department were able to view and manage workload in their offices. Finally, managers were able to predict funding needs far in advance, using forecast reports that monitored the pipeline.
Since the solution’s deployment, the company’s enhanced workflow has measurably improved its processing of agreements. Today, more than 90% of agreements are signed prior to their project periods.
Additionally, the solution provides leadership with the ability to forecast needs and adjust planning and budgetary processes accordingly.
